Job Role: Project Coordinator (Commercial Glazing and Windows)

Compensation range: $2,000 AUD - $2,500 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: The Project Coordinator will work closely with the Project Manager, Operations Manager, Project Engineer, suppliers, contractors and client representatives to help keep multiple commercial glazing and window projects organised and moving.

This is not a basic administration role. The successful candidate must be able to read construction drawings, understand project documentation, communicate clearly with Australian suppliers and contractors, maintain accurate project records and follow up actions without waiting to be pushed.

The Project Coordinator will not replace the Project Manager. The role exists to make sure the Project Manager has accurate information, current registers, clear records, fast document processing and reliable follow-up support.

Key Responsibilities: 

  • Read and review construction drawings, architectural plans, elevations, window schedules, shop drawings, specifications and project documentation to understand the project scope and identify information that needs to be tracked or clarified.
  • Maintain drawing registers, shop drawing registers, RFI registers, document registers, procurement trackers, delivery trackers, action registers, variation registers and project closeout trackers.
  • Take detailed meeting minutes and convert discussions into clear action items, responsible persons, due dates and follow-up requirements.
  • Follow up consultants, builders, suppliers, subcontractors and internal team members to make sure actions are completed on time and information is returned quickly.
  • Prepare weekly project status reports that summarise progress, outstanding information, upcoming deadlines, risks, late actions and items requiring Project Manager attention.
  • Draft professional emails to Australian suppliers, contractors, consultants and client representatives. Emails must be clear, accurate, polite and written in strong Australian business English.
  • Call Australian suppliers, contractors and client representatives when required to clarify information, chase documents, confirm dates, request updates or support the Project Manager.
  • Assist with procurement administration by tracking quotes, approvals, purchase orders, lead times, fabrication status, delivery dates and missing information.
  • Assist with project documentation, including RFIs, transmittals, material submissions, sample submissions, operation and maintenance information, warranties, QA records, delivery dockets, site photos and defect closeout records.
  • Maintain organised project folders and ensure documents are saved in the correct location using clear file naming and current revisions.
  • Escalate issues early when drawings are inconsistent, approvals are late, suppliers are not responding, deliveries are at risk, or information is missing.
  • Support the Project Manager with claim preparation, variation support and project records where required, while understanding that commercial decisions remain with the Australian management team.
